Survey respondents are anonymous by design. We do not ask for names, email addresses, or account logins on standard wellness surveys. We do not store IP addresses or use cookies to identify individual respondents on the survey experience.
1. Who we are
Wellness Pulse (“we,” “us,” or “our”) provides anonymous wellness monitoring software for schools, workplaces, and other organizations through wpulse.org and related domains. Questions about this policy: support@wpulse.org.
2. Information we collect
Institution administrators (customers who create accounts) may provide:
- Name, work email, institution name, and login credentials
- Billing information processed by our payment provider (Stripe); card numbers are not stored on our servers
- Configuration data such as locations, survey templates, and channel integration settings
Survey respondents (people who complete a wellness check-in) typically provide only:
- Answers to survey questions
- A location identifier associated with the survey link or QR code
- A timestamp of submission
We do not design standard surveys to collect names, email addresses, phone numbers, student IDs, or similar direct identifiers from respondents.
3. How we use information
- Operate, maintain, and improve the Wellness Pulse service
- Provide aggregated wellness analytics and reports to authorized institution administrators
- Process subscriptions and send service-related communications
- Respond to support requests and protect against abuse or fraud
- Comply with legal obligations
We do not sell personal information. We do not use institution wellness data to train third-party AI models.
4. Anonymous survey data
Individual survey responses are not displayed to institution users as identifiable records. Dashboards show aggregated trends, scores, and statistics. Our architecture is intended to make it impractical to determine who submitted a particular response.
Institution administrators choose where and how surveys are distributed (for example, QR codes in a break room or links on an intranet). They are responsible for communicating anonymity expectations to their audience.
5. Cookies and analytics
Our marketing site and authenticated admin areas may use cookies and similar technologies, including Google Analytics, to understand traffic and improve the product. You can control cookies through your browser settings. Anonymous survey pages are designed to minimize tracking of respondents.
6. Third-party service providers
We use trusted vendors who process data on our behalf, including:
- Stripe — subscription billing and payment processing (Stripe Privacy Policy)
- Google Analytics — website usage analytics on some pages (Google Privacy Policy)
- Email and hosting providers — delivery of account and support messages and operation of our infrastructure
When you connect optional channels (Slack, LinkedIn, email, etc.), credentials and tokens you authorize are stored to send scheduled content on your behalf. You can disconnect integrations at any time.
7. Data retention
We retain institution account data while your subscription is active. Anonymous survey responses are retained to provide historical trends unless deleted by your institution or upon account closure. After account deletion, associated data is removed within a reasonable period (typically within 30 days), subject to backup and legal retention requirements.
8. Security
We use industry-standard measures including encryption in transit (TLS), access controls, and logical separation between customer organizations. See our Security & Privacy page for more detail.
9. Your rights and choices
Institution administrators may access, export, or delete their organization’s data through the dashboard, or by contacting support@wpulse.org. Depending on where you live, you may have additional rights (for example, access, correction, or deletion). Survey respondents who did not create an account generally have no personal profile with us because we do not collect identifying information on standard surveys.
10. Children and students
Wellness Pulse may be used by educational institutions. Institutions are responsible for determining whether use is appropriate under applicable laws (such as FERPA or local student privacy rules) and for obtaining any required consents. We process student wellness responses only as anonymous submissions unless an institution configures a flow that explicitly collects additional information.
11. International users
Wellness Pulse is operated from the United States. If you access the service from other regions, your information may be processed in the U.S. or where our service providers operate.
12. Changes to this policy
We may update this Privacy Policy from time to time. We will revise the “Last updated” date at the top. Material changes may also be communicated by email or in-product notice.
